HOW DO I RENT THE CIVIC CENTER?
Check availability at RENTAL DETAILS to ensure date/time is available. Then email us at firstname.lastname@example.org to begin reservation process.
HOW DO I PAY FOR MY CIVIC CENTER RENTAL?
The deposit is due when your contracts are submitted. Rental payments are accepted at any time, but must be paid no later than the week of your event. Payments are accepted at 244 South 11th Street. We accept checks and money orders free of charge..We also accept ACH and credit cards with a convenience fee.
WHEN AND WHERE CAN I PICK UP MY KEY?
Electronic Passcodes are distributed via email to gain entry into facilities; your passcode will be sent once final payment has been received.
WHEN AND WHERE CAN I PICK UP MY DEPOSIT?
Deposits will be processed two weeks after your event as long as the key has been returned and the Civic Center has been left in agreed upon condition. Your check will be mailed to the address on your rental agreement.
CAN YOU REFUSE SERVICE?
We do reserve the right to refuse service to anyone. We don't usually do that, but please make sure you are respectful when making reservations. Excessive hostility and swearing is frowned upon and will not be tolerated. In very extreme cases, we reserve the right to refund a deposit prior to the scheduled time in the event of verbal assault or other hostilities deemed excessive. Please make sure you read the Civic Center's policies and procedures thoroughly, including payment types, or check for availability beforehand on the DETAILS page.
WHAT IF SOMEONE IS TRYING TO RENT THE SAME TIME I AM?
Rentals are given on a first come first serve basis. If someone is looking to rent your preferred time and gives us their full deposit and completed, SIGNED contracts first, they will get that time. Sorry. We encourage you to submit your paperwork and deposit as soon as you know the date of your event. Saturdays fill up very quickly.
WHY CAN'T I RENT IT IF SOMEONE HAS A STANDING DEPOSIT?
We do allow you to roll your deposit over to another event date instead of issuing it back to you after your first event. There are certain families who have held the same date for years and plan to keep renting that date in the future. They have put their deposit down first and therefore have priority over any new event on said date. Therefore, if you want Christmas Eve next year and a family that has rented it for 50 years, including this year, has already notified us that their deposit will roll over to Christmas Eve next year, you will not be able to rent it. Again, sorry. Rentals can be made up to one (1) year in advance.
WHAT IF I WANT A COLD ONE AT MY PARTY?
The Civic Center has recently changed policy and now allows alcohol at events. An officer must be present for the entire duration of your event and your contract with said officer must be filed with your Civic Center contract prior to your event. You are solely responsible for contacting and setting up an agreement. Midlothian Police Department's current officer contact information can be found under DETAILS.
Even if your party is BYOB, you MUST have an officer on site. Just because you aren't providing alcohol yourself, does not mean you do not have to have an officer. Violation of this policy will result in an automatic forfeiture of your deposit and we reserve the right to file a police report.
WHAT IS YOUR CANCELLATION POLICY?
We allow you to cancel your event with a refund of your deposit minus $50 within fourteen (14) calendar days of your event date. If the event is cancelled less than fourteen (14) calendar days prior, your deposit will be forfeited.
DO YOU HAVE AN EMERGENCY NUMBER?
If there is something horrifically wrong when you get to the Civic Center during REGULAR BUSINESS HOURS, call 972-775-8866.
If there is an emergency AFTER REGULAR BUSINESS HOURS, this contact has yet to be determined. If someone comes on site and the situation is deemed a non-emergency, there will be a $25 deduction from your deposit to compensate for the service call.
NON-EMERGENCIES include parties that have not properly cleaned prior to leaving, or inability to figure out appliances on site. If the party before you has left a mess or damaged the property or furniture in some way, please TAKE PICTURES of the offenses and email them to email@example.com. Unless it is big enough to warrant police action, we will not provide anyone to handle said offenses the day of. A well documented offense is much appreciated in the handling of deposit returns.
Please be safe during your event: Take or Hide your things, Lock your car, Take your keys. The Civic Center cannot be held responsible for theft, damage, or any other issues during your event.
If there is a fire, someone with bodily injuries, or other true emergencies, please call 911.
WHAT DOES THE CIVIC CENTER PROVIDE?
We provide tables and chairs in addition to the space itself. Minimal cleaning supplies (ie. dust mop and brooms) are also available. Check DETAILS for more information. We do not have a list of preferred vendors or restrictions on what companies you are allowed to use. The Civic Center is great in that it is a "blank slate" for your event. You are, however, in charge of providing cleaning both inside and outside the building. The reason our rates are so low is because we do not have anyone on staff to clean the space.
